A property manager taking over a small commercial building inherits a shoebox of keys with no labels and no chart. Some open the mechanical room, some open vacant units, and a few do not seem to match anything currently on the property at all.

Many commercial properties end up with keys copied from other keys over years of staff changes, until nobody can say with confidence what a given key actually opens. Master key system design starts from the opposite direction: an approved list of roles and openings comes first, and the keying follows it. Doors that genuinely need to share access are grouped under a sub-master; doors that do not stay on their own key. Once the hierarchy is agreed, the cylinders are pinned to match it, tested lock by lock, and handed over with a plain record so the business always knows which key belongs where.

What a shared or multi-tenant building already has in place
Where the property sits inside a larger building, the check looks at what is already shared: a condominium corporation's own lobby or garage system, a landlord's building-wide master, or another tenant's separate keying. The new hierarchy is designed to sit alongside those systems rather than to cut across them, so a tenant's own suite keeps its own private levels while common areas continue to answer to whoever already manages them. Sorting this out first avoids designing a system that quietly conflicts with access someone else controls.
Building the hierarchy from the bottom up
Design starts with the smallest unit, the individual change key, and works upward. Each door that stands alone gets its own combination; doors that should share access are grouped under a sub-master; and a single top-level master is reserved for the short list agreed earlier. Building in this order keeps the levels honest, since a sub-master or master is only created where a real group of doors justifies it, rather than being added because it seems useful in the abstract. The result is a hierarchy that matches the organization rather than one imposed on top of it.
A building that finally matches its own org chart
The most visible change is often the simplest one: the level of key someone carries now matches the role they actually hold, instead of matching whatever happened to be handed down or copied over the years. Walking the building afterward, each door answers to keys that were deliberately assigned to it, and the chart in the office explains every one of those decisions to anyone who asks about it.

Building spare capacity into the keying platform so a business can add doors later without a full redesign takes deliberate planning during the design stage. A property with clear expansion plans may choose a platform with more reserved combinations, priced differently from a minimal, current-needs-only design.

A restricted or patented keyway costs more in blanks and administration than a standard keyway, since duplication is controlled through the manufacturer's authorized record rather than cut anywhere. Higher-risk doors, such as records or cash rooms, often justify that additional control; lower-risk doors may not.
3Collecting and retiring old keys
Gathering up old keys that are being replaced, confirming they no longer operate any cylinder, and retiring them from circulation is a small additional step some businesses want included, separate from the core design and cutting work.

Can different lock brands be mixed in one master key system?
Sometimes, but it depends on the keyway and pinning platform each brand uses; some are compatible with one another and some are not. Where a mix already exists on a property, the assessment identifies which cylinders can be brought into a single hierarchy and which need replacing with a matching platform so every level pins correctly across the whole set of doors.
Do all the doors on my property need to be part of the master system?
No. Some doors, such as a private office or a room with a single regular user, can reasonably stay on their own key outside the hierarchy if there is no real benefit to including them. The assessment is partly about deciding which doors belong in the system and which are simpler left alone, rather than assuming every lock has to join.
What happens if a master-level key goes missing?
The current chart shows exactly which doors that level was designed to reach, which for a lost top-level master can mean the whole property rather than one group. Depending on how the key was lost and who else already holds that level, the usual options are repinning the affected cylinders and reissuing keys to the remaining holders; a restricted keyway lowers the odds of an unauthorized copy being cut but is not proof that one has not been made. Without a current chart, the first task is reconstructing that scope.
